Google Basics for Teaching Course

Have you ever wanted to take your students to see the Leaning Tower of Pisa in Italy? Or the Taj Mahal in India? Or the Kremlin in Russia? What if your students didn’t have to keep track of papers to complete assignments? How would you use technology to accelerate and improve learning across the educational system? Teaching is hard work - challenging, rewarding, and impactful work - and Google wants to make sure that technology is a handy tool in an educator’s toolkit and a powerful educational ally, not a challenge.

Google Basics for Teaching is intended for anybody interested in the use of Google products in an educational setting to enhance efficiency and effectiveness as an educator. Some of the tools will help with administrative tasks outside the classroom, while others will help with classroom management. Still others will impact classroom instruction or classroom culture and will help inspire, engage, and personalize your students’ education. Like past Google courses, participants engage with course material through a combination of video and text lessons, activities, and projects. As with other Google MOOCs (Massive Online Open Courses), you’ll learn from Google experts and collaborate with other participants. You’ll also have the opportunity to complete a final project and apply the skills you’ve learned to earn a certificate.

The Google Basics for Teaching course will run from November 18- December 19, 2014. Visit g.co/basicsforteaching to learn more and register today. Join the course to learn how other educators are managing assignments using Google Drive, communicating with their students and families using Google Sites, analyzing famous artwork with their students using Google Cultural Institute, as well as many more examples of effective teaching with technology.

Chromebook Printing is Here!


At this time printing is available on the Ricoh copiers for staff only – staff located at a single school are set up to print; staff working at multiple locations are only set up to print to a single school. To set up Chromebook printing for all assigned locations, please contact the IT Service Desk at 503-916-3375 or itservicedesk@pps.net for assistance.

Simple Directions
From your document, go to File, then Print. In the Destination section, click on the Change button. Under Google Cloud Print, click Show All. You should see all your building Ricoh copiers listed. Select the one you want to print to and then click the Print button. You would follow the same steps if you wanted to print a webpage.

*If you do not see your building copiers under Google Cloud Print, please contact the IT Service Desk at 503-916-3375 or itservicedesk@pps.net for assistance.

Other Info

  • Staff working at multiple sites will automatically be shared the printers from their main site and will need to contact the Service Desk to have your other assigned sites shared.
  • Staff working at multi-campus schools (i.e. Chief Joe/Ockley Green, East/West Sylvan, or Beverly Cleary) will be shared the printer groups for all their campus sites.
  • Itinerant Staff who are at their site for more than a couple days can contact the Service Desk to be shared their site’s printers for the duration of their stay.
  • Regarding RICOH copier/printers that require the entry of a Printer Code: If you have a RICOH printer that requires the entry of a printer code, your Chromebook will not be able to print to that printer as there is no method of entering the code into the Chromebook. To be able to print to these copiers from your Chromebook, the code entry requirement would need to be removed by your building administration.

Google Apps for Education is live for Students!



PPS students in grades 1-12*, in addition to all PPS employees, now have a Google Apps for Education account! Google Apps for Education is a suite of tools including Google Docs, Sheets, Slides, Calendar, Sites, and Google+. Google Apps gives everyone the ability to quickly, and easily, create and share documents on any computer or mobile device.  For more information on the benefits of Google Apps click here.
Each student will need to activate their Google Apps account at https://activatestudentgafe.pps.net/ by entering their PPS username and password. The username should be first initial of first name, followed by last name, followed by last four digits of Synergy ID, e.g. JDoe1234 (case sensitive). The default password is P@ssw0rd1234 where 1234 is the last four digits of the Synergy ID. If that does not work, try the username as the password (e.g. jdoe1234, all lower case). Students must log into Google Apps with their own individual account (not a classroom account). To view information about student accounts and password complexity rules or directions for resetting student passwords, visit our webpage at: http://www.pps.k12.or.us/departments/information-technology/6417.htm. If you need passwords reset, contact the IT Service Desk.

Please share this information with your teachers so they can assist students with activating their accounts. An email with the information above, as well as important security reminders, will be sent to the STC listserv today.

More Google Apps Training!

The last few weeks have been a whirlwind of training for the Google Apps outreach team. Last Monday we headed out to Wilson High School to conduct several sessions at the substitute training. We also pushed out a Teacher Portal page to everyone using Chromebooks. This page displays when you login to the Chromebook and will only be active for a few weeks. The page has handy links that should be bookmarked along with a Teacher Survey. Please encourage your teachers to complete this survey. We'll use the data we receive from the survey to develop differentiated professional development options at the school level.

Today we delivered our first Chromebook training at Glencoe with a live stream to YouTube, Irvington, and Maplewood. We trained 30 people in person and another 20-30 virtually. We'll be conducting another training tomorrow, the 13th, at Irvington. We hope to see you out there!

Training Begins!

We are all experiencing the big push for the start of school. The Google Apps team will be spending much of our time working with individual schools and conducting training sessions. We've started off the week with the Common Core Best Practices Institute and Secretary training. We'll be at Glencoe on Wednesday for Chromebook training that will be live streamed here (will also be posted to the YouTube channel). We will also conduct a session for the Leadership Academy on Thursday followed by another Chromebook training at Irvington (also streamed live). I hope to see many of you out there!

Google Apps for Education is Live!

All PPS staff and students in the District now have a Google Apps for Education account! Google Apps for Education is a suite of tools including Google Docs, Sheets, Slides, Calendar, Sites, and Google+. Google Apps gives everyone the ability to quickly, and easily, create and share documents on any computer or mobile device. It also allows for quick, adhoc, meetings with staff in different locations using Google Hangouts. For more information on the benefits of Google Apps click here.

To access your Google Apps account please go to the https://activategafe.pps.net/ and enter your PPS username and password. After you have activated your account, to begin using Google Apps for Education, visit the District domain at http://apps4pps.net.

Each student will also need to activate their Google Apps account at https://activatestudentgafe.pps.net/ by entering their PPS username and password. After their account is activated, they can begin to use Google Apps for Education by logging in at http://apps4pps.net.

Usernames will not be your normal PPS email address or username, it will be your PPS username followed by @apps4pps.net. Your staff username will not be your normal PPS email. It will be your PPS username followed by @apps4pps.net. For example, if your email is rsmitch@pps.net you would use rsmitch@apps4pps.net. Your password will be the same as what you entered on the activate page. Student usernames follow the same protocol. If the student email is rsmitch3255@student.pps.net or rsmitch3255 they would use rsmitch3255@apps4pps.net. Their password will be the same as what they entered on the activation page.

Chromebook Delivery Parties

Training for support staff on Chromebooks and Google Apps.


As part of the Tech Bundle Initiative, Chromebooks are being distributed to all teachers and administrators prior the start of the school year. These parties are voluntary events and designed solely to facilitate early distribution. More formal distributions are also planned during the weeks of Aug. 25, Sept. 8 and Sept. 15.

The Tech Bundle Chromebooks will be distributed to the following personnel:
  • PPS Teacher defined as an employee holding a valid Oregon State Teaching License assigned to deliver at least.5 FTE of class room instruction within a PPS school campus within the 2014/2015 school year.
  • PPS Campus Administrator defined as an PPS employee holding a valid Oregon State School Administrator’s  License and assigned to work at a PPS School Campus as a Regional Administrator, Principal, Vice-Principal, or Assistant Principal for at least .5 FTE within the 2014/2015 school year.
Unfortunately, teachers hired after July 15 are not included on the distribution list, but they will receive their device during the formal distributions. A list of personnel meeting these criteria have been distributed to principals for review and only those personnel on the distribution list will be issued a Chromebook.

To receive a Chromebook, you must present your PPS badge and agree to sign a receipt acknowledgement. As each Chromebook requires an signed acknowledgement from the assigned teacher, you will not be able to pick up Chromebooks for your colleagues. Please see the tentative details of the Chromebook parties below. Another location will also be added.

The details of the distribution efforts during these Chromebook parties are as follows: 
  • There will be 2 technical support staff on site to distribute the Chromebooks
  • Technical support staff on site to answer basic questions on Chromebook use. (apps4pps.net sign-on, function keys and touch pad tips, accessing Google Apps, etc.)
  • An optional basics overview for the Chromebook and Google Apps will be offered at the distribution parties. Stay tuned for specific times and places for the presentations!

District Launch Update


We are on track to have all staff accounts created by this Monday, August 11th. Everyone, from janitors to the superintendent, will have a Google Apps for Education account. For those who do not currently have Google Apps accounts, you will have to go to an activator page and enter your credentials to sync your passwords between our current login system (active directory) and the Google Apps system. I will post detailed instructions later this week. Exciting times!

The session included handing out the Chromebooks to the excited teachers and our certified Google Education Trainer, Melissa Lim, providing a presentation of the Chromebooks accompanied with a demo of the collaborative functionalities of different Google Apps.

Hapara Rolls Out Tools for Managing Google Apps

Palo Alto-based Hapara released three new tools this week at the annual ISTE conference, aimed at making it easier for teachers to use Google apps in school.
Use of Google Apps For Education is growing like wildfire: In 2010, Google said there were 10 million users; that number has since tripled. In May, Googlesaid it was developing a tool it calls Classroom, that aims to help teachers organize, assign and collect work.
That’s where Hapara, which has it roots in New Zealand, started a few years ago. Over the past three years, Hapara has won fans in 35 countries and 20% of US school districts as it has given teachers a way to better manage Google docs. Now Hapara, too, is now upping its game with improvements and added features that it believes will convince teachers that their lives will be easier using Hapara’s dashboard and tools, rather than going with pure Google.
In an interview with EdSurge in late May, Hapara CEO and founder, Jan Zawadzki, said that Hapara continues to be a close collaborator with Google—and, he says, is finding ways to fine tune its product to meet the needs of teachers. Hapara’s most recent release of products and features address the specific request that the company has gotten. These tools include:
  • Construct, for managing assignments and project-based learning that will become a part of the Teacher Dashboard;
  • Insight, an analytics tool for using Google Apps for Education;
  • A Teacher Dashboard, a dashboard that individual subscribers can use to make it easy to collaborate with any users with Google accounts—including parents.
Construct, which will be included as part of the Teacher Dashboard in the coming school year, will enable teachers to work with students to plan, design and assess assignments and projects. “It lets teachers sequence learning materials,” Zawadzki says, something that enables them to plan, engage and assess students, creating a transitional path that turns learning to students.
The Teacher Dashboard, which is in beta testing, will mean that individual teachers can use Hapara’s tools to manage Google Apps, whether or not their organization has a Hapara account. Using the Teacher Dashboard will involve paying a license to Hapara but the company has not yet disclosed what that will be.
And Insights, Hapara’s analytics platform, aims to be like a car’s “fuel efficiency” meter—but one that monitors students’ behavior across social networks to give teachers more feedback about how students are responding. “You’ll be able to see here are the students that are responding to your attention—and here are the ones who are not,” he says.

Google Play for Education comes to Chromebooks

Chromebook teachers can use Google Play for Education to:
  • Share Chrome apps instantly, with the whole class or with individual students -- starting with favorites likeGeoGebraTechSmith SnagIt and CK-12. Soon we’re adding brand new apps from partners like Houghton Mifflin HarcourtDiscovery Education and Scholastic.
  • Adapt classroom reading to students’ current interests as they choose from thousands of K-12 books, from the latest non-fiction to free classics like Huckleberry Finn and Jane Eyre.
  • Create custom YouTube playlists for students using videos from educator-approved channels.

Chromecast!

Chromecast devices are low cost, small, yet powerful.
We have purchased a handful of Chromecast devices to explore their use within IT and the schools. I know some of the schools are already using the devices to varying degrees. This product is another example of a seamless implementation by Google. The dongle (it's the picture on the box) plugs into the HDMI port on a TV or projector and can be powered by either USB on the TV/projector or through a wall plug. It allows the user to easily share their Chrome web browser tab on the screen. This enables you to share content with your students by simply clicking a button in your Chrome web browser! Parent Permission and Acceptable Use


We have good news! The process for parental permission for their students to use Google Apps will be incorporated in the registration packet this fall. It will be an opt out process to make the process easier for everyone. For staff we have incorporated the necessary language in the District Acceptable Use Policy for Google Apps. This means that as staff members are hired, they'll agree to the terms, and an account will be created for them. As reminder, IT is building an automated process to create both staff and student accounts (no action needed from the schools!).

Soft Launch Update

 I am happy to announce that we have expanded the Soft Launch to include Rosa Parks. Rosa Parks was selected because they are moving to a year round schedule beginning in July. They currently have two carts of Chromebooks and will begin using them with students this summer. This will allow the Google Apps team to gain valuable feedback to help inform the District rollout in late summer/fall. We are on track to have all staff accounts provisioned in August with student accounts following after!

Chromebooks and Google Apps


Chromebooks hit the market in limited numbers in 2010 and took off when Samsung introduced the Series 5 in 2011. In the years since Chromebooks have managed to grab 20% of the mobile computing market in education (Rolfe Winkler, WSJ). The features, collaboration tools, durability, and price point all make Chromebooks an attractive option for student and teacher devices.


The original intent of the Google Apps for Education project was to focus on the rollout, and management, of the Google Apps District domain. As our journey has progressed it's become clear that device management, in particular Chromebooks, and Google Apps cannot be easily separated into two different conversations. We are now gathering information to help inform policy and procedures for asset and device management. Below are some photos from a recent school visit.

SketchUp Pro for Oregon K-12 Districts



Oregon Virtual School District is excited to provide access to SketchUp Pro at no cost to Oregon school districts. They are a grantee under the Statewide License Grant Program.

Google Apps for Ed Training Modules



If you'd like to learn more about Google Apps, check out these awesome training modules. These modules can be used to deliver training to a group or serve as an independent professional learning experience. Each training session could be facilitated in a one and a half hour workshop with your staff. Most of the modules are 'Make It and Take It' resulting in a created artifact from the participant as various skills are practiced. All the Google Apps are covered and there are also lots of different resources to check out and explore. Thanks to Allison Mollica for sharing her training modules template!

Kick off!

Welcome to the Portland Public Schools (PPS) blog for the rollout of Google Apps for Education. We will use this blog to communicate project progress and updates. I want to kick the blog off by providing background on the project and an update on the state of Google Apps in the District.

On April 15, 2010 the Oregon Department of Education (ODE) entered into a contract with Google for statewide use of the Google Apps for Education platform. This groundbreaking agreement included the necessary language to provide Oregon students with sufficient legal protections from digital prying (in particular, strong FERPA language). The ODE agreement allows districts to enter into an Inter-Governmental Agreement (IGA) with ODE and piggy back on their contract with Google. PPS took advantage of this opportunity and entered into an IGA with ODE on July 23, 2013.

As many of you know schools within PPS have been leaders in the Google Apps space. I was put in charge of the Google Apps rollout and over the winter we formed a project team within IT. We solicited school interest in participation via an Admin Connect article. Twenty schools replied and interest has continued to grow. We identified six schools to partner with for a soft launch during the Spring. Five of the six schools already have Google domains and will be migrating to the District domain. These schools have provided critical input for the project by sharing their experiences, use of the platform, and potential issues with a District wide rollout.

Today marked a major milestone for the project with the first accounts created on the District domain, apps4pps.net.  Our six partner schools will begin setting up their portion of the District domain next week. We have technical work to complete before all staff, and students, have accounts created. This work will continue through the summer and culminate with all staff accounts being created in August and student accounts following registration.

We are also forming a Google Apps for Education Steering Committee comprised of stakeholders from schools and central office. This group will oversee the project, school prioritization for implementation, and distribution of Hapara licenses. District wide adoption will be an exciting journey and I look forward to working with all of you!
